This Privacy Policy explains how Raypoint Innovations LLC ("ContestPro," "we," "us," or "our") collects, uses, and protects information when you use ContestPro.
Account information. When you create an account, we collect your name, email address, and (optionally) your organization.
Contest & roster data. Organizers and coaches may enter contest details, class information, and contestant information — such as a contestant's name, number, grade, age, and division. This may include information about minors, entered by their coach or authorized adult on their behalf.
Judging card images. When you scan a card, the photo is sent to a third-party AI service to read the contestant number, class number, and marked placing. We do not permanently store these images — they're used transiently to extract the data and then discarded.
Usage data. We may collect basic technical information such as browser type and general usage patterns to help us maintain and improve the service.
We do not sell your information, and we do not use contestant or roster data for advertising.
To operate ContestPro, we rely on a small number of third-party service providers, including:
Each provider processes data only to the extent necessary to provide their part of the service, under their own privacy and security practices.
When an organizer publishes contest results, information such as the contest name, date, location, and contestant names and scores becomes visible to anyone with the results link. Organizers may also choose to list a contest in the public directory, which is browsable by anyone. Organizers control when results are published and can unpublish them; they also control whether a contest appears in the public directory.
ContestPro is intended for use by adults — coaches, contest organizers, and secretaries. We do not knowingly collect information directly from children. Contestant information belonging to minors is entered into the platform by their coach, parent, guardian, or another adult authorized to do so on their behalf. If you believe a minor's information was submitted without appropriate authorization, contact us at info@contestpro.live and we'll address it.
We retain account and contest data for as long as your account is active or as needed to provide the service. Judging card images are not retained beyond the moment they're read. If you delete your account, we'll remove your personal account information; published contest results tied to your contests may be retained as part of the historical record unless removed beforehand.
You can update your account information at any time from your Account page. You can request deletion of your account and associated data, or ask what information we hold about you, by contacting info@contestpro.live.
We use industry-standard practices — including encrypted connections and access controls — to protect your information. No online service can guarantee absolute security, but we work to keep your data safe.
We may update this Privacy Policy from time to time. If we make material changes, we'll take reasonable steps to notify users, such as posting a notice on this page.
